Administrative Assistant

As the Administrative Assistant, you will provide professional administrative support to Youth and TAY Residential Program Managers and their programs.


General Office Support

  • Set up meetings
  • Take meeting minutes
  • Order meals
  • Process Purchase Requisitions
  • Process Facilities Requests
  • Order and track office supplies
  • Filing and copying


  • Prepare and send Purchase Requests for Housing program
  • Send internal and external occupancy report to county partners and staff
  • Review monthly reports for accuracy
  • Data entry
  • Schedule appointments
  • Document incident and record incident reports on AWARDS (data management system)
  • Take meeting minutes and send to staff
  • Prepare and fill in standard documents
  • Provide weekly email progress updates of team meetings
  • Obtain weekly updates on discharges from SF & SJ during the treatment team meeting
  • Provide support to the HR Business Partner
  • Other duties as assigned



  • Familiarity of business and administrative management practices and procedures
  • Proficient in Microsoft Office Applications (e.g., Word, Excel, Outlook, PowerPoint, and Visio)
  • Strong written and verbal communication skills
  • Highly organized, detail oriented, strong problem-solving skills, good decision-making skills
  • Ability to multi-task and manage time to complete daily and weekly tasks as well as special projects
  • Proactive and a high level of integrity
  • Works well in a team environment and has strong customer service skills
  • Adheres to confidentiality practices
  • High School graduate or equivalent
  • Minimum of 2 years clerical and/or administrative experience.

  • Ability to read and interpret documents and procedure manuals. Ability to write routine reports and correspondence
  • Ability to speak effectively before groups of students or employees of organization
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
  • Ability to deal with problems involving several concrete variables in standardized situations
  • Ability to identify negative disruptive behaviors and redirect behavior using mediation techniques
  • While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop; kneel, crouch or crawl; talk or hear; taste or smell
  • Must be able occasionally lift and/or move up to 50 pounds
  • May be required to make and/or receive physical contact in the process of delivering First Aid/CPR or Handle with Care, or in training to those methods
  • Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
  • Ability to get CPR and First Aid certificate within 30 days of start date, and maintain a current certificate
  • Must clear a Department of Justice (DOJ) and Federal Bureau of Investigation (FBI) background check including fingerprinting before start date and maintain clearance
  • Must clear a health screening, including TB before start date and maintain clearance
  • Must be at least 21 years of age and able to work in a Community Care Licensed Facility
  • Must be able to drive, have a valid driver’s license, clean driving record and maintain a clean driving record
  • Meet and maintain the minimum vehicle liability and property insurance limits (in order to be insured by our insurance carrier for transportation of residents)
