Reporting to the Special Assistant to the President, the Office Coordinator works with multiple senior university leaders and staff in the Office of the President to enable effective management of executive operations and facilitate a collaborative environment that reflects the university’s values and ambition.


The Office Coordinator will perform a variety of operational and administrative duties in collaboration with the Special Assistant to the President in their role directly supporting the President.


Duties include:

  • Support all operations of the President’s Office and the executive offices suite, including providing partial coverage of the reception desk and engaging visitors to the President’s Office and executive offices suite. Schedule standing and ad hoc meetings for groups of senior leaders, deans, and other university officials.
  • Provide limited direct administrative support to the Chief Communications and Marketing Officer and the Chief Information Officer), primarily by managing calendars and general administrative needs.
  • Collaborate with the Executive Assistant to the President in executing administrative functions for the Office of the President.
  • Provide coverage for select responsibilities of the Executive Assistant to the President during occasional absences.
  • Collaborate with the Board of Trustees Liaison to provide support for trustees in preparation for and during regular board meetings.
  • Collaborate with other President’s Office staff on university events and special projects as needed.


Requirements/Minimum Qualifications

  • Associate’s degree
  • 5-7 years of related experience; higher education experience is desirable
  • Proven commitment to diversity, equity, and inclusion
  • Proficiency in Microsoft productivity tools (Outlook, Word, Excel, PowerPoint, Teams) and a demonstrated ability to learn new applications (e.g. Drupal, Adobe Acrobat, Slate)
  • Ability to maintain a high level of confidentiality and discretion
  • Attention to detail and commitment to accuracy
  • Adaptability and ability to balance multiple and shifting priorities in a fast-paced environment
  • Ability to support multiple complex projects simultaneously
  • Effective written and oral communication skills
