Dartmouth Advancement is searching for an Executive Assistant to the Vice President for Alumni Relations.  This is a great opportunity to partner with our VP (a member of our senior leadership team) and manage work that many would find typical of an Executive Assistant role, such as complex calendar management, travel and itinerary planning, meeting preparations, office functions, and coordinating and tracking projects/deliverables.  What sets this role apart is that the projects are across the Alumni Relations landscape with a reach across the division, our campus, and our alumni.  Our work is visible, meaningful, creative, and will inspire you to bring your good judgement in discretion, effective and friendly communication skills, and collaborative spirit as you work with members of divisional/institutional leadership, colleagues, and Dartmouth’s alumni and volunteers.  Our VP often has speaking engagements and will need your help in preparing presentations as they plan for their camera cue.  A point of contact for those seeking time with our VP, your tact, diplomacy, and ability to determine urgency and navigate priorities of the day will help manage the balance of work and help move engagement initiatives and strategic priorities across the finish line. 

There are wonderful things happening in the alumni engagement space!  An example of an exciting engagement initiative we are currently leading is the 50 for 50 Project, a celebration of three major anniversaries at Dartmouth – the founding of Black Alumni at Dartmouth (BADA), establishment of the Native American Studies program, and co-education.  This initiative is all hands-on deck for team Alumni Relations as we engage alumni near and far and celebrate these milestones with fabulous storytelling in many voices.   We would love for you to be a part of it! 

Skills and experience that will help our team bring our best every day: 

  • Project management and organizational skills are important for all of us in our workflows.
  • Flexibility to respond to changes in priorities. Part of what makes our work so much fun is the interesting curveballs we experience in our work and the creativity we use to overcome challenges.
  • Our technology suite currently includes Advance, iModules/Anthology, Jira, and Slack. We will provide training in all these things through an individually tailored onboarding plan for our new colleague!  We do ask that you bring us a strong understanding of the components of MS Office (Excel, Outlook, PowerPoint, and Word) as the ability to manage calendars, work with datasets for reporting, and prepare presentations will be critical for our workflows. 
  • A keen eye for details, particularly travel coordination for your VP to help them present their best selves to our alumni on behalf of Dartmouth.
  • Experience in administrative functions with a high degree of autonomy. We work as a team and you will have many colleagues, but there are times when you will need to self-direct your work and projects through your own initiative.
  • We place a high value on creativity, a customer-service mindset, and an ability to maintain a long-term perspective on the work we do toward helping Alumni Relations further our mission of engagement across all the generations and diverse communities of our alumni body.
  • A Bachelor’s degree with five years of experience in a fast-paced and nuanced environment.
  • A customer service first approach and the patience to help others when they ask for a helping hand.
  • A sense of humor! And the grace to help us move forward when something doesn’t go quite as we intended.
