Job description

Westwood Country Club is looking for a dynamic team member to join our team to support the Board of Directors, General Manager, Controller, Assistant General Manager, and Club House Manager as needed to facilitate meetings and manage member relations and member communications. The position reports to the Controller. This position is available immediately and offers a great work environment, benefits, and a competitive salary for the qualified candidate.



Requirements

Job Knowledge, Core Competencies and Expectations

Board of Directors & Committees:

  • Prepare monthly Board of Directors’ meeting agenda, meeting minutes, documents, and all communications.
  • Assist in managing board and officer elections.
  • Update annual board member and committee directory.
  • Track club bylaws
  • Keeps Board and Managers fully informed of any known or anticipated opportunities in a timely and accurate manner.
  • Coordinate and send board meeting notices; help with meeting facilitation including taking minutes.
  • Coordinate and send committee meeting notices.
  • Prepare and coordinate annual meeting information.
  • Prepare agendas and organize folders for meetings. Prepare schedules and coordinate registrations for meetings.

Membership:

  • Manage applications, nominations, and communications for all new and current members.
  • Welcome new members & gather all required member data to provide positive onboarding experience. Be the first point of contact for new member contact.
  • Create and email and flyer announcement of new member to appropriate board members, membership, and staff.
  • Processing new members in Northstar software.
  • Manage and maintain in good order, all membership records, files, and ensures the safe keeping of all company and membership records.
  • Disseminate member communications in a timely manner.
  • Contacting members to obtain accurate information for file and electronic system.
  • Develop tools for tracking current membership when necessary.
  • Produce membership reports on a monthly and ad-hoc basis as requested.
  • Update Club directory.
  • Process surveys and club member feedback.
  • Maintain routine membership databases to facilitate billing accuracy and efficiency.
  • Communicate club events to membership.
  • Answer, screen, and transfer phone calls- triage all membership inquiries (via phone, in person or email) to the appropriate individual to ensure a timely response.
  • Handle internal requests for information and data.
  • General clerical duties including photocopying, fax and mailing.
  • Prepare and modify documents such as correspondence, reports, drafts, emails and PowerPoint presentations.
  • Maintain electronic and hard copy filing system & retrieve documents as needed.
  • Resolve administrative problems and inquiries.
  • Organize and maintain Association records.
  • Contribute to the Association team effort by accomplishing other assigned tasks, as needed.

Website, Mobile App, eNews, and Newsletter:

  • Interface daily (or as necessary) with website to ensure the timely and accurate information of the website and mobile app. by monitoring website, making updates, and ensuring content is kept current.
  • Assist members with their log-ins and site experience as needed.
  • Monitor the admin email and address issues as needed.
  • Create and disseminate online eNews for upcoming club events.
  • Create Newsletter – Collect information, coordinate with the managers and board, draft and send the newsletter to the printer for distribution.
  • Coordinates production of electronic news, President’s messages, monthly Board report, and member spotlight.
  • Manage the online membership community information.
  • Review, analyze and maintain club campaigns (eNews) and calendar.
