Detailed Job Description
Office Assistant for the Buffalo State Chapter of United University Professions (UUP), an affiliate of New York State United Teachers (NYSUT), American Federation of Teachers (AFT), National Education Association (NEA), and AFL-CIO. UUP is the labor union representing the faculty and professional staff of the State University of New York (SUNY). This position is part-time at the Buffalo State Chapter Office located at 1300 Elmwood Avenue, Chase Building, Room 102. As a union organization, this position involves the confidential handling of member concerns and issues. UUP is an Equal Opportunity Employer.
Job Duties
• 15-25 hours per week—must maintain posted in-person hours (for example, M-F 9:30 to 2:30, other hours variable as needed (17-20 hours per week), both negotiable)
• Provide receptionist coverage for open office hours to answer phones, respond to emails, write correspondence, answer general questions of members, and give administrative support to chapter officers, executive board, and members as needed.
• Assist with office operations and member/visitor coordination (especially scheduling of appointments) with chapter officers and the chapter Labor Relations Specialist
• Coordination of member information packets/intake forms and referral to appropriate President/Vice President/Grievance Officer and the Labor Relations Specialist
• Work with outside vendors and campus support staff • Meeting/Event coordination and set up (i.e., room reservations, catering orders/shopping for foodstuffs, distribution of event flyers, registration RSVPs, verify membership, tracks attendance, and distribution of electronic links for remote meetings)
• Forwards information from state-wide UUP, with consultation of the chapter officers, to the membership via email distribution listing or other means
• Forwards member responses to UUP statewide administrative offices
• Set up and maintain campus wide UUP member, bargaining unit, chapter officer, executive board, department steward, and delegate email distribution lists.
• Prepares chapter newsletters (typing of articles, layout of pages, assembly of document) in close consultation with chapter president and other officers and distributes electronically or otherwise
• Organizes chapter mail and bills for payment by chapter treasurer, prepares authorization-for-payment forms
• Assists in preparation for the financial audits, collects and organizes copies of the Executive Board and Chapter meeting minutes, copies authorizations and completed checks, and mails the packet to UUP statewide accounting team upon completion by the chapter treasurer.
• Helps the State-wide Membership Development Office with new members, sending out new member welcome packets, scheduling chapter officers' presentations at new employee orientations, etc.
• Provides other services as required to further the mission of the Union
Qualifications
• 2-5 years office experience
• Entrepreneurial spirit and desire to do whatever it takes to help support an active union
• Ability to multi-task
• Ability to work without supervision
• High energy levels and highly motivated
• Excellent interpersonal skills, communication, analytical, problem solving, and writing skills
• Must be organized
• PC skills, experience in MS Office (Word, Excel, Power Point, Publisher or equivalent)
• Operational knowledge of standard office equipment
